How to make a QR code in Excel

How to make a QR code in Excel is a placement and print-area job. Download SVG or PNG from SmartQRCode, then Insert Pictures. Do not take a screenshot of the grid. Fit Sheet on One Page will grey the modules. Lock excel print area millimetres before anyone hits Print.

How to make a QR code in Excel without photographing the sheet

Excel is a grid. People treat the grid as a canvas, type a URL in A1, and photograph the monitor. That photograph is a second-generation raster with UI chrome. It is the same class of mistake as flattening a table tent into a photo and reprinting the photo. Generate the pattern in SmartQRCode. A website QR code is the usual cell-to-URL job. Tracked codes belong on bin labels when you need country and device totals.

Hosted types keep the printed squares stable while the destination moves. That matters on a warehouse sheet you will reprint quarterly. Wi-Fi in a cell is the other case: the password lives in the modules, is not trackable, and needs a new file when the passphrase rotates. Do not mix a hosted website type and a Wi-Fi type in one print-scaling pass without checking each picture's centimetre height.

If the workbook is a one-off seating chart that will never be counted, a Canva static widget exported as PNG and pasted once is enough. Excel is the wrong compositor for a party invite. Excel is the right compositor for a pick list that already lives in xlsx.

Page Setup Fit Sheet must not own the symbol

  1. On the SmartQRCode code page, Download SVG or PNG. Skip JPG unless a printer demanded it.
  2. In Excel, Insert, Pictures, Place in Cell, or Place over Cells. Prefer over cells so row auto-fit cannot squash the pattern.
  3. Right-click the picture, Size and Properties. Set Height to at least 2 cm. Tick Lock aspect ratio. Clear Move and size with cells if a filter will hide the row.
  4. Open Page Layout, Print Area, Set Print Area around the picture plus a light gutter.
  5. Open Page Setup. Under Scaling, choose No Scaling or Adjust to 100 percent. Clear page setup fit sheet on one page.
  6. Turn off Print Gridlines for that sheet so grey rules do not run through the quiet zone.
  7. Print a physical page. Scan from about 30 cm. If the preview looked huge and the paper looks tiny, Fit Sheet was still on.

Bulk creation from a spreadsheet is the SmartQRCode path when you need many hosted destinations from CSV. Excel itself should place the resulting files, not invent modules from CONCAT formulas.

Why a screenshot of Excel cells fails

A screenshot captures whatever is on the glass: gridlines, the name box, a Windows shadow, maybe a formula in the formula bar. Those pixels become part of the quiet zone or sit on top of finders. Even a clean crop is a 72 dpi or 144 dpi raster that Excel then scales. Upscaling a 400-pixel grab to a 20 cm door sign interpolates grey. The camera reads grey as damage.

Insert Pictures In Cells looks tidy in the grid and still fails at print if row height is 15 pixels. The modules must be millimetres on paper, not cells on a laptop. Google Sheets has the same screenshot habit. The fix is identical: a real PNG or SVG from Download, placed at a locked size.

How to stop Fit Sheet on One Page shrinking the code

Fit Sheet on One Page is a logistics favourite because it crams a wide table onto A4. It also multiplies every picture by a scale factor you never typed. A 2 cm symbol becomes 1.1 cm and desk-distance scans fail. Set a dedicated print area that contains only the code and a short caption, at 100 percent. Put the table on the next page. Two pages that scan beat one page that does not.

If you must show a table and a code together, give the picture an explicit centimetre height after scaling, then proof on paper. Do not trust Page Break Preview zoom.

Can an Excel workbook hold hosted codes

Yes. Each placed file can be a hosted website type whose destination you edit in SmartQRCode. The workbook does not store the live URL in the modules; it stores a picture of a short address. That is the point. A static payload stored as a picture is frozen. For bin and asset labels hosted is the usual fit because locations move.

A formula that concatenates WIFI:T:WPA and then hopes Excel will barcode it is not a QR generator. Do not ship that.

Row height, filters, and pictures that vanish on the warehouse copy

Excel users hide rows. A picture set to Move and size with cells disappears with the filter, or worse, squishes into an 18-pixel remnant that still prints as a grey smudge. After any AutoFilter, scroll the print area and confirm the picture height in centimetres is unchanged. If a colleague uses Insert Pictures In Cells for a tidy grid, they must also set a row height that maps to millimetres on paper, not to a laptop row.

Sheet views and custom views restore zoom, not necessarily print scaling. Document the Page Setup on the print-area sheet: Landscape or Portrait, 100 percent, no Fit Sheet, gridlines off. Put that sheet's name in the cell above the code so a night-shift reprint does not use Sheet1, which still has Fit Sheet on.

CSV imports do not include pictures. If the workbook is a pick list generated from CSV, the SmartQRCode files must be placed again, or the process should be a bulk hosted job whose PNGs are named by SKU. A formula that displays a URL as text is not a scan. Do not ask a picker to type that URL.

For a Wi-Fi code on the same workbook as website types, give it its own print-area tab. Mixing a static password and a hosted URL under one Fit Sheet pass is how the password mark becomes unreadable while the URL mark still scans. Confirm the Wi-Fi mark with a phone that is not already on that SSID.

Headers and footers in Page Setup can print a file path through the quiet zone. Clear them on the code sheet. Then print the physical page and scan it. The on-screen Page Break Preview is not millimetres.

When a Canva static file is better than Excel

A one-night poster, a bake-sale board, or a classroom reminder that will never be counted belongs in Canva's built-in QR, not in a workbook. Excel wins when the surrounding data already lives in rows and you need a print area. For those sheets, Insert Pictures over cells from a SmartQRCode download, with Fit Sheet off, is the method. Photographing cells is not.

If the workbook is emailed as xlsx, pictures travel with it only if they were inserted, not if they were a screenshot sitting on someone's desktop. Open the file on a second PC before you send the night shift a print pack. Missing pictures print as empty boxes. Empty boxes do not scan.
