QR codes for gyms at the front desk

SmartQRCode editorial · Updated October 2026

QR codes for gyms belong on the front-desk waiver and the class board. Host the PDF and the timetable so class changes do not reprint the wall. A Canva one-off is enough for a one-day open day you will never count. Print 2 cm at the desk. Use H and laminate where water bottles live.

What QR codes for gyms should open at the desk

The pause is check-in: a clipboard, a phone, a queue. Put a PDF QR on the front-desk waiver scan so the form can be swapped when legal updates the text. Put the weekly grid on a website QR so class timetable edits do not mean a new A3. Put store badges on an app QR if you need App Store and Play links. Those are three of 17 types. A gym does not get an eighteenth.

This job does not apply to a one-day open day with a single signup URL that will never change and will never be counted. Canva or another free static generator is the file. There is no unpaid SmartQRCode tier. $1.99, $29, $97, and $197 are the paid options.

Do not print guest Wi-Fi into the waiver. A Wi-Fi payload is static, not trackable, and a passphrase change reprints the card. Confirm on a phone that is not already on the network. SSID is case-sensitive.

Studio mat-side cards are a different posture. See QR codes for fitness studios. Waiting-room clinics share anxious standing reads. See QR codes for healthcare. Hotel gyms compete with TV cards. See QR codes for hotels. The gyms and fitness use case is the industry page.

How to print desk, board, and locker codes

  1. Create a PDF type for the waiver, a website type for the timetable, and an app type for the member app if you need both stores.
  2. Set M on clean coated desk card. Set H on the towel-bin scuff zone and anywhere bottles sit.
  3. Size the desk symbol at least 2 cm for a standing 30 cm read. Enlarge wall boards if members scan from the weights floor.
  4. Keep four empty modules. Clipart butted against the pattern eats the quiet zone.
  5. Export SVG or a print PDF. The on-screen preview encodes /qr-preview. Do not screenshot it.
  6. Laminate locker-room humidity jobs. Uncoated paper drinks ink and then drinks sweat.
  7. Proof under the same overhead lights as the desk. Gloss cards fail under downlighters that scanned on a laptop.
  8. If you sew a code onto a towel or a staff shirt, fabric stretch needs a larger symbol than paper at the same distance. Prefer a badge insert.
  9. Pause the open-day code after the event. Archived codes keep scanning. Pause is the state that stops them.

Apparel and sewn patches are a poor gym default. Wash cycles abrade ink. Posted A4 at the door beats a lanyard that flexes.

How do you print a gym waiver QR code

Print the waiver code on the desk mat or a rigid tent, not on a paper pad that soaks. Front-desk waiver scan distance is arm length. If the member has to lean over the iPad stand, raise the tent.

Keep the timetable board at eye height in the lobby, not behind the desk where only staff can reach. Members will not ask to borrow the gate.

Name codes by site if you run more than one box. Scan totals, device type, and country come from headers. They are not a membership ID.

In-room hotel gyms already show a QR on some TV firmware. A second tiny mark on the same desk competes. Make yours larger and hosted, or you will lose to the television.

Can you change a gym class timetable after the poster is printed

Yes, when the poster is hosted. Instructor swaps and cancelled spin classes edit on the page. You reprint when the paper is destroyed.

A static Canva grid is last week's timetable the morning the sub is announced. That is acceptable for a one-off workshop poster. It is wrong for the season board.

Wi-Fi still cannot be edited after ink. Guest-network cards in the locker need a reprint when the password rotates.

Hosted codes depend on the provider resolving the URL. A pause stops a perfect print on purpose.

Gym failures that are not the PDF

Locker-room humidity on uncoated flyers is first. Laminate or move the code to the lobby.

Towel-bin scuff zone on the lower third of a wall board is second. Put the pattern high and use H.

Two codes on one desk tent, waiver and Wi-Fi, in one camera frame, return one result. Put them on opposite faces.

A logo covering more than H can restore still shows finders and still fails.

Do not reprint a photo of the old board as the new timetable.

Lockers, apparel, and member app store links

Member app store links belong on an app type that can point at App Store and Play. A website code is for timetables. A PDF is for the waiver. Mixing all three into one static URL on the desk tent means you cannot edit one job without reprinting the others. Host them separately.

Locker-room humidity destroys uncoated flyers. Laminate or move the code to the lobby. A towel-bin scuff zone on the lower third of a wall board will take the finders first. Put the pattern high and use H.

Apparel and sewn patches need a larger symbol than paper at the same reading distance because fabric stretches, seams interrupt modules, and wash cycles abrade ink. A staff shirt is a poor waiver. A badge insert or the desk tent is the better object.

If you run more than one site, name codes by box. Scan totals, device type, and country come from request headers. They are not a membership ID. Analytics cannot see a name or email.

In-room hotel gyms already show a QR on some TV firmware. A second tiny mark on the same desk loses. Make yours larger and hosted, or skip the fight.

Guest Wi-Fi remains static. Confirm on a phone that is not already on the SSID. A joined staff phone is a false pass. SSID is case-sensitive. Hidden SSIDs and many EAP networks are poorly supported in the WIFI string. Do not promise them on a chalkboard.

Export SVG for vinyl class boards and a print PDF for desk cards. The on-screen preview encodes /qr-preview. Error correction M on clean coated desk card. H where bottles sit. Quiet zone of four modules even when the club name wants to hug the mark.

Pause the open-day code on Monday. Archived codes keep scanning. Pause is the state that stops them.

A one-day open day with a fixed URL, no edits, and no scan count is a Canva job. A season timetable is not. Paid options are $1.99, $29, $97, and $197. There is no unpaid tier.

When a gym open day should use Canva

A Canva one-off is enough for a gym open day: one URL, no edits, no scan count, the board in the bin on Monday. Hosting that day is wasted cost.

A timetable that will still be on the wall next month should be hosted. Studio walls with mirrors, and clinic waiting rooms, are neighbouring jobs with different lighting and different anxiety.

Questions this raises

Use a PDF landing page at the front-desk waiver scan, set H if the desk gets water bottles and scuffs, size at least 2 cm for a standing 30 cm read, export SVG, and laminate. Paper flyers in the locker-room humidity fail first.

Yes on a hosted website or PDF. Class timetable edits happen on the page. A static Canva poster in the modules is last weeks grid until you reprint.

Use Canva or another free static generator for a one-day open day URL you will not edit and will not count. A timetable that changes every season should be hosted.

Member app store links belong on an app type that can point at App Store and Play. A website code is for timetables and waivers. They are different encodings among the 17 types.

No. Wi-Fi is static, not editable after printing, and not trackable. Confirm on a phone that is not already on the SSID.
