QR codes for work orders in the field

QR codes for work orders belong on the job card that leaves the shop in a pocket, not on a clean office printout. Host the estimate PDF so a price change does not reprint the card already in the van. A Canva one-off is enough for a single frozen job URL that will never be counted.

How QR codes for work orders should ride in a pocket

The pause is the technician at the site, often in rain, with a folded card. Dirt, rain, and folded paper want H correction, coated or laminated stock, and a size above 2 cm. That is a field-service rule, not a flyer rule. Keep folded job-card codes on a flat inked panel. Embossed job numbers beside the symbol break module edges.

Host a PDF QR code or a website QR code for the live estimate. Add a WhatsApp QR code for a technician WhatsApp handoff when the dispatcher number will change. Those types stay editable because the printed modules encode a SmartQRCode URL. Scan charts exist on them. They cannot see the customer's name.

This job does not apply to a one-page PDF you will hand to one customer tomorrow and never reuse. A free static generator such as Canva is enough then. Hosted codes last as long as the provider resolves them.

  6. Fold the proof the way techs fold it, sit on it, wipe it, then scan with the site phone.
  7. If you post a shop SSID for customers, keep it off the job card. Wi-Fi is not editable after printing and not trackable, and it hands a password to whoever scans.

A van magnet is a different distance from a pocket card. Magnets on a sliding door are read from the kerb, closer to a yard sign than to a folded job-card. Size for that distance or skip the magnet and keep the mark on the card the tech already holds. Rain on a magnet still wants H and a vector SVG. A PNG sent to a cutter traces broken corners.

Dispatcher notes that change twice a day belong on the hosted PDF, not handwritten in the quiet zone. Writing in the four-module margin is how a readable card becomes an unread one by lunch. If the customer must sign a paper copy, keep the symbol on the tech half, not on the signature half that gets torn off.

Locked-gate Wi-Fi at a site is a password you just handed to whoever scanned the job card. Keep credentials off the card. Treat that placement like a password on a whiteboard. Confirm any shop SSID with a phone that is not already joined.

How do you keep a work-order QR readable after a fold

Fold along a score that misses the symbol. A crease through a finder is the usual pocket failure. The three nested squares locate the code. Covering one with a staple or a coffee ring looks fine from a metre and fails at 30 cm.

Proof on the same stock as the live card. A laser proof on gloss that later prints on uncoated field stock will mislead you. Uncoated drinks ink. Compensate with size, not by dropping to L.

Low light in a loft or a crawl space fails more often than the wrong camera app. Current iOS Camera and Android cameras read a well-formed symbol. Some Android skins still hide the reader behind a mode toggle.

QR codes for logistics fail on belt motion. Work orders fail on folds. Do not copy the carton test onto a pocket card.

Can the job PDF change after the card leaves the shop

Yes, when the modules encode a hosted PDF or website. Swap labour, parts, or a safety sheet without calling the van back. A technician WhatsApp handoff can change the pre-filled message or the number the same way. Redirects use 302 so a 301 cache does not freeze the first estimate.

A handwritten static job URL cannot move. That is honest for a one-off that will never be counted. It is expensive when every change reprints a laminated card.

Analytics count scans, not people. The same tech scanning twice is two scans. Country comes from request headers. Wi-Fi still has no scan analytics.

A paused hosted code stops resolving. Archived codes keep scanning. If the shop cannot depend on a provider, print static payloads and accept reprint.

When pocket codes pass in the office and fail on site
