QR code labels that stay readable

QR code labels have to survive the applicator, the shelf light, and the carton curve, not merely the PDF. Start near 2 cm at arm length. Raise size on thermal paper and kraft. Keep four modules of air the squeeze rollers cannot steal. Download SVG or a millimetre-native PNG. Never plate a screenshot of the preview.
QR code labels for shelves, cartons, and thermal rolls
A label is a sticker with a job: it hits a liner, a machine, and a surface you do not fully control. You are about to pick stock, size, and file for that surface. This is the wrong page for a decorative clear window mark; use stickers and window decals. It is also the wrong page for a one-off static URL on a single jar at a bake sale: Canva is enough.
Packaging cartons want a formed-pack scan. Shelf talkers in grocery sit at shelf-edge arm length: the shopper already has a phone out. Thermal shipping labels sit on a printer whose density you can set too light.
Host a dynamic or website code if the landing page might change mid-season. A static grid on 10,000 liners is a reprint when the URL moves.
Variable data on labels is where people try to encode a unique URL per unit in a static symbol. That densifies every mark differently and makes a millimetre spec a lie. If each unit needs a unique destination, that is a hosted bulk job, not 10,000 different static densities. The printed pattern can stay the same size when the payload is a short hosted URL.
Warehouse labels that will be scanned with a dedicated scanner gun still have to work with a guest phone if you also printed a marketing URL. Guns and cameras disagree about contrast. Proof with the phone you expect a customer to use, not merely with the gun.
Build a label that survives the applicator
- Name the surface: coated shelf strip, kraft carton, thermal parcel, or something greasier.
- Set millimetres from standing distance. Shelf-edge arm length can sit near 2 cm. Carton sides read from farther; grow the mark.
- Export SVG for flexo or cutters; export 300 dpi PNG or PDF for desktop laser at the finished size. Do not screenshot /qr-preview.
- Keep a four-module quiet zone inside the face, not flush to the die.
- On thermal stock, raise thermal label contrast: darkest print setting, and size above 2 cm if the head is tired.
- On kraft, expect uncoated spread. A kraft carton label wants more millimetres or a white underprint.
- Apply one label on the real pack or shelf, then scan. Applicator squeeze shows up here, not in the RIP.
A logo on a 20 mm shelf ticket is usually too much centre damage. Drop the logo or grow the ticket.
Can thermal labels hold a qr code
Thermal receipt and thermal label stock fades and often prints grey. Receipts are the harsher cousin; the same physics applies. Darkest density, larger symbol, no fancy invert. Do not treat a faded week-old parcel label as a durable campaign. If the code must last on the box in a warehouse, use a resin ribbon on synthetic or a printed coated label, not raw thermal.
A thermal code that scanned at the printer and fails at the door is usually fade or crush, not a bad URL. Test an aged sample.
How small can a shelf-edge label go
Near 2 cm if the face is coated, the quiet zone is intact, and overhead lamps are not mirroring off gloss. Gloss laminate glare is the grocery default. Matte on the symbol, or a less glossy varnish, beats shrinking the mark further.
Two labels in one camera frame, price and QR side by side, can make the phone open the wrong one. Separate them. The reader returns one symbol, not a blend.
Label jobs that fail after the first week
Ink rub on a carton corner. Move the label off the crush zone. Condensation in a fridge case lifts paper labels and wrinkles modules. Synthetic. A hosted destination that changed in analytics but not in your head is not a print bug. Uncoated fibre swell on kraft after humidity. Size up.
Flyers stuffed into the same campaign can use a different millimetre because they fold. Do not copy-paste the label size onto a folded A5.
How to brief a digital shop versus a flexo plant
A desktop laser or a short-run digital label press wants a millimetre-native PNG or PDF, with the quiet zone already in the art. They will not add a bleed of the code. If you need bleed of the surrounding colour, keep that colour out of the four-module gap.
A flexo plant wants vector, a dieline, and a formed-pack conversation. Tell them the panel, the varnish, and whether a white underprint exists. Ask for a press proof on the real face stock. Digital proofs on coated paper of an uncoated run are theatre.
Shelf-edge in grocery adds another brief: the ticket already competes with a price gun and a promo flash. Do not put the QR on the flash. Put it on a calm rectangle. If the strip is only 25 mm tall, you cannot have 20 mm of code plus a caption plus a logo. Drop the logo.
Country-level scan breakdowns, if you use a hosted code, come from request headers, not from a chip in the label. They will not tell you which bay in the store was scanned. If you need bay-level tests, print different hosted destinations per bay.
When a marker on a bin is the right tool
A warehouse bin that will be rewritten daily does not need a hosted QR programme. A marker, or a Canva static file you reprint weekly, is honest. SmartQRCode has no unpaid plan. Use $97 when SKUs and landing pages will move without a reprint. Use a free static generator when they will not.

Yes if you raise size and thermal label contrast. Thermal paper fades and is often pale grey on pale grey. Use the printers darkest density and larger than 2 cm when you can.
Shelf-edge arm length is about 30 cm, so 2 cm can work on a clean coated face. Overhead glare on gloss laminate is the usual fail, not millimetres.
If a flexo plant or a cutter is in the chain, yes: SVG or vector PDF. A desktop laser of 500 kraft carton label copies can take a 300 dpi PNG at the real millimetres.
Applicator squeeze can squash modules and steal the quiet zone if the label is registered to the panel edge. Leave margin. Scan the applied label, not the roll.
Hosted website and landing-page codes can retarget. A static payload printed in the grid cannot. Labels on a liner do not create edit-after-print by themselves.
